A Purchase Executive at Qualships Pty Ltd is responsible for sourcing and procuring ship spare parts, equipment, and services to support the company’s marine engineering, ship repair, and supply operations. They work with global suppliers to negotiate prices, issue purchase orders, and ensure timely delivery of quality goods that meet operational needs across major Australian ports. This role also involves maintaining accurate procurement records and collaborating with logistics, warehousing, and technical teams to optimize inventory and supply chain efficiency
• Source, evaluate, and select reliable suppliers for marine parts,
equipment, and services to meet operational needs while negotiating
competitive pricing, delivery terms, and quality standards.
• Prepare, issue, and manage purchase orders (POs) accurately, track
order status, follow up on deliveries, and resolve delays or
discrepancies to ensure goods arrive on time at required locations.
• Build and maintain strong vendor relationships, monitor supplier
performance, and handle supplier communication to support long-
term partnerships and effective service.
• Coordinate with internal teams such as logistics, inventory, technical
operations, and finance to understand requirements, forecast needs,
and align purchasing with company objectives.
• Maintain accurate procurement documentation and records (quotes,
contracts, invoices, delivery receipts), ensure compliance with
company policies and quality standards and support cost
tracking and audits.
• Monitor stock and work with inventory/warehouse teams to maintain
optimal inventory levels, prevent stockouts, and control procurement
costs.
• 1–2 years of experience in procurement, purchasing, or supply chain
operations
• Strong knowledge of sourcing, vendor negotiation, and purchase
order management
• Experience working with ERP systems (SAP, Oracle, or similar)
Proficiency in Microsoft Excel
• Ability to manage multiple orders, track shipments, and meet tight
deadlines
• Strong communication and negotiation skills with suppliers and
internal teams
• Good analytical and problem-solving skills, with attention to detail in
documentation and cost control
• Ability to work independently and collaboratively with cross-functional
teams (logistics, warehouse, technical, finance)
• Experience in the marine/shipping industry
• Familiarity with marine spare parts, ship equipment, or technical
procurement
• Strong purchase order management and vendor management skills
• Experience in sourcing, quotations, tendering, and contract management
• Familiarity with marine spare parts, ship equipment, or technical products (preferred for marine/shipping industry)
• Ability to track shipments, manage multiple orders, and maintain procurement documentation
• Understanding of procurement policies, quality standards, and compliance requirements
• Strong communication and negotiation skills with suppliers and internal teams
• Ability to work independently and collaboratively with cross-functional teams (logistics, warehouse,
